Contract for Medium and Heavy Duty Trucks
Explanation
Over the past 15 years, the City has purchased light, medium & heavy duty trucks from multi-year contracts. This process allows for standardization of our fleet. Some of the advantages gained from a standardized fleet are: lower parts inventory, less expenditures on tools and manuals, increased mechanics' efficiencies, and the operators' skills in the vehicles' use are increased as they are more familiar with the operation of one standardized type vehicle. Bids were sent to six vendors. The City received one responsive bid package and one "no bid". Purchasing staff followed up with vendors who had not responded and found one that experienced difficulty in getting subcontractor bids in time and one who was too busy. The responding vendor has been providing us with these services for the past 4 years. The contract will be for a period of three (3) years with two (1) year optional extensions if both parties agree to the terms. The proposed vendor's bid is 3% above the dealer's net cost.
Fiscal Note
Funds are available in the Fleet Replacement Fund for General Government.
Recommendation
The City Commission: 1) authorize the City Manager, or his designee, to execute the contract for the procurement of medium and heavy duty trucks to Fountain Motors, Inc. d.b.a. King Truck Center subject to approval of the City Attorney as to form and legality and 2) authorize the City Manager, or his designee, to approve purchases under the contract.
