Purchase of Light Trucks, Vans and Other Vehicles (B)
Explanation
For the past several years, the City has been purchasing the referenced vehicles on multi-year contracts, 3 years and (2) one-year extensions. The advantages for this concept are standardization of the fleet that allows for lower inventory of parts, minimum purchases of specialized tools, equipment and manuals, increased mechanic's and operator's familiarities with the vehicles, quicker delivery of new vehicles, price protection against popular models, and priority warranty services. Notices to bid were sent to 71 vendors, 16 of which requested bids and five of which responded. The recommended vendor, Wade Raulerson Pontiac, GMC & Isuzu of Gainesville is the highest evaluated bidder.
Fiscal Note
Funds are available in the Fleet Fund Replacement Account subject to the final adoption of the proposed General Government budget by the City Commission.
Recommendation
The City Commission: 1) award the contract for the procurement of Light Trucks, Vans and Other Vehicles to Wade Raulerson Pontiac, GMC, & Isuzu of Gainesville for a 3-year period and two (1) year extensions if mutually agreed upon by the City and the vendor; 2) authorize the City Manager or his designee to execute the contract subject to approval by the City Attorney as to form and legality; and 3) authorize the City Manager to approve purchases made under this agreement.
