Bid Award - Contract for Full Custodial Services at City Recreation Centers (B)
Explanation
The Purchasing Division solicited proposals for custodial services for the City's eight recreation centers. A total of 236 potential vendors were notified. On August 5, 2004, a mandatory pre-bid meeting and site inspection tour was conducted for the fifteen vendors attending the meeting. Proposals were received from four vendors. An evaluation team reviewed the submitted proposals using the following criteria: base cost for normal weekday custodial services; cost per square foot for additional carpet cleaning above routine care; cost per square foot for additional hard floor care above routine care; cost per hour for on-call personnel during normal working hours; cost per hour for on-call personnel for emergency custodial services on nights and weekends; quality of carpet cleaning equipment; experience of personnel; and references. Based on the evaluation criteria, Superglo Cleaning Services, Inc. was ranked first. The term of the contract will be for one year, with the option of four (4) one-year extensions, subject to funding and written consent of both parties. The initial one-year contract will start on October 1, 2004 and expire on September 30, 2005.
Fiscal Note
Funds have been budgeted in the Recreation & Parks Department budget in the amount of $85,000 to cover the cost of this contract.
Recommendation
The City Commission: 1) approve the contract award for full custodial services for the City's recreation centers and issuance of a purchase order to Superglo Cleaning Services, Inc for FY 05 in an amount not to exceed $85,000; and 2) authorize the City Manager or designee to execute the initial one-year contract and any subsequent annual extensions.
