Explanation
The City of Gainesville was awarded two grants on April 1, 1999 to test the automated collection of the National Highway Traffic Safety Administration's (NHTSA) recommended Minimum Uniform Crash Criteria (MUCC). The funds awarded under these grants will allow for the purchase of computer equipment and specialized software allowing the uniformed field units to write crash reports via computer, thus reducing the time consuming need to manually record all traffic crash information. The primary goal of the program is the timely collection and analysis of relevant crash data by both the Police Department and Traffic Engineering. This requested purchase of the Data Nexus software program is a specified source request due to the availability of the program and the State of Florida's requirements for crash reporting. Data Nexus was also the only company that could perform all of the necessary tasks in one environment. The purchase is for seventeen (17) Data Collection Modules (8 at $2,000 and 9 at $1,200) and two Administration Modules at $6,600 each.
Fiscal Note
Funds for the purchase order not to exceed $40,000 are available from the federal grant (account 115-810-X396-5210-6040 and 115-810-X395-5210-6040).
Recommendation
The City Commission approve the issuance of a purchase order to Data Nexus, Inc., of College Station, Texas, as a specified source provider, for the purchase of Automated Crash Reporting Software Data Collection Modules and Administrator Modules at a cost not to exceed $40,000.
