Explanation
The two current laser check printers were purchased in 1998. All Gainesville Regional Utilities vendor payment and meter deposit refund (UMD) checks are printed exclusively on these printers. One printer is located in each of the two departments. Both printers serve as back-up to each other. The printers and software are now obsolete and due to reliability and support issues need to be replaced.
 
A Request for Quote was sent by Utilities Purchasing to five (5) prospective bidders. All five bidders responded but two quotations were deemed non-responsive because they did not meet all of the technical requirements. Of the remaining three, award of the Request for Quotation is being recommended to the lowest, responsive bidder. A tabulation of the quotations is attached for your reference. The recommended purchase amount includes a five -year support maintenance program.
Recommendations
The City Commission approve the issuance of a Purchase Order to Standard Register for replacing the two existing laser check printers utilized in the Customer Billing and Accounting departments in the amount of $41,475.80.
Fiscal Note
Funds for this project are budgeted in Information Systems Department's 2004-05 Capital budget.
