Approval of Contract Amendment for Grounds Maintenance (NB)
explanation
Grounds Maintenance is required for GRU facilities for routine maintenance of the lawns, shrubs and plant beds plus fertilization, mulching, pruning, weed control and other related services. The City Commission approved a 3-year contract with Ragin Lawn Services for grounds maintenance for utility facilities on October 23, 2000. Two, one-year extensions were provided for in the bid. The first of those two extensions was approved by the City Commission on January 12, 2004.
Ragin Lawn Services is a small, minority-owned business. To assist them in providing the services required by the contract, a contract management plan was developed. Under that plan the Contractor and utility staff have been meeting on a regular basis to provide better oversight of all of the various locations maintained under the contract.
Ragin Lawn Services and staff have negotiated an increase of 3% for this extension, which is consistent with the CPI-U for the 12 months ending in July. This is only the second increase since the contract was first approved in 2000. Staff is recommending approval of the 2nd extension to cover these services for FY05.
recommendation
The City Commission authorize the General Manager, or his designee, to execute an amendment to the contract with Ragin Lawn Services for grounds maintenance, subject to the approval of the City Attorney, and approve the issuance of a purchase order in the amount of $ 54,042, subject to the appropriation of funds for FY05.
fiscal impact
Funds for these services have been included in the proposed FY 2005 Utilities budget.
